Account Deletion & Data Retention Policy

This Policy explains how you may request deletion of your account, what information will be deleted, what information must be retained for legal or regulatory purposes, and how your information is handled throughout the deletion process.
1. Overview and Right to Delete
We respect your privacy and your right to control your personal information. You may request deletion of your account and associated personal information at any time. This Policy explains the deletion process, retention requirements, and how we process deleted data.
2. How to Initiate Account Deletion
You may submit an account deletion request using one of the following methods.
(a) In-App Deletion (Mobile & Web Applications)
- Sign in to your account.
- Navigate to Profile → Settings → Account Security.
- Select Delete Account.
- Review the confirmation information and complete the deletion request.
(b) Web Portal or Email Request
If you no longer have access to the application, you may submit an account deletion request by:
- Completing the online request form at https://realcordinator.com/request-deletion
- Sending an email to privacy@realcordinator.com using the email address associated with your account.
3. Account Deletion Process and Timeline
Immediate Account Suspension (Soft Delete)
Once your deletion request is confirmed:
- Active login sessions are terminated.
- Authentication tokens are revoked.
- API keys are disabled.
- Your account becomes inactive.
- Marketing communications and lead generation outreach cease.
30-Day Grace Period
Your account enters a mandatory thirty (30) day soft-delete period. During this time:
- Your profile is hidden from other users.
- Your account may be restored by contacting Customer Support.
Permanent Deletion (Hard Delete)
After the 30-day grace period, your personal identifiers are permanently removed or anonymized from active production databases within sixty (60) days, except where retention is required by law or described below.
4. Data Retained for Legal, Regulatory, and Audit Purposes
Certain information must be retained after account deletion to satisfy legal, regulatory, financial, auditing, and security obligations.
Real Estate Transaction Records
Executed contracts, earnest money information, contingency notices, transaction history, and participant access records may be retained for up to five (5) years to satisfy applicable record retention requirements and audit obligations.
De-Identified Transaction Data
To preserve transaction history for remaining participants, personal identifiers such as your name, email address, and phone number may be removed and replaced with an anonymized identifier such as "Deleted User".
Security and Audit Logs
Security logs, IP addresses associated with legal consents, authentication events, and audit records may be retained for up to three (3) years for cybersecurity and legal defense.
Financial and Tax Records
Subscription billing records, invoices, payment transactions, and related financial records may be retained for up to seven (7) years to comply with applicable tax laws.
5. Third-Party Partner Data
If your information was previously shared with authorized third-party partners, such as lenders, title companies, insurance providers, or marketing partners based on your prior consent, we will notify those partners of your deletion request where required by law.
Because those organizations maintain their own systems, you may also need to contact them directly to request deletion of your information under their respective privacy policies.
